Senior RFP Specialist

**Description** Under minimal supervision, Senior RFP Specialist (Request For Proposal) acts as project manager overseeing development of sales proposals in collaboration with Staples sale teams. Senior Specialists primarily support Tier 3 and complex RFP responses, as well as short turn and high profile accounts. Senior Specialist will also assist with various complex projects and duties on behalf of RFP Response Team, RFP Team Manager and related departmental managers to ensure that internal processes are followed and that project timelines are met.

**Primary Duties & Responsibilities:**

+ Acts as project manager overseeing the development of responses to Requests for Proposals, Requests for Information, and general proposal documents.

+ Formulates response drafts, ensuring a comprehensive match to the external customer and internal business requirements.

+ Completes RFP responses for a wide range of product categories, including office products, facility supplies, furniture, technology, print services and more. Responsible for creating accurate, well-written, and properly formatted RFP responses through research, writing, proofreading, editing and formatting. Ensures all customer requirements are met and that RFP response complies with all internal guidelines.

+ Coordinates RFP activities and communications, such as conference calls, meeting recaps, project plans, item assignment, executive signatures, bid bond, follow-up and follow-through.

+ Coordinates with various colleagues, executives and subject matter experts to obtain information needed to respond to RFPs/customer requests (e.g. Legal, sales, merchandising, marketing, pricing, IT, etc.)

+ Participates in quality check processes and peer reviews of all work product. Ensures final response package is appropriately formatted and submitted to customer on time.

+ Assists in developing/updating RFP content.

+ Participates in team meetings for coordination of workflow, work review, sharing of information and best practices.

+ Senior Specialists participates in and leads all new hire training activities, as assigned.

**Qualifications** **Basic Qualifications:**

+ Bachelor's Degree in English, Marketing, Legal or related field of study OR an equivalent combination of education, training and experience.

+ Minimum of 4 to 6 years of experience with the following: researching and writing responses to RFPs, sales support or marketing, or an equivalent combination of education, training and experience.

+ Strong understanding of competitive market and office product knowledge desired.

+ Project management skills: Demonstrated ability to keep multiple projects on track through proactive communication, prioritization, problem solving, time/task management, , and organization, etc.

+ Advanced computer skills: Must have advanced skills in the entire MS Office Suite including Word, Excel, PowerPoint and Outlook; Ability to learn new software quickly

+ Excellent communication skills

+ Excellent writing skills with which to clearly explain concepts in professional documents, using easy-to-understand English; must have strong command of punctuation and grammar

+ Detail-oriented with excellent reading comprehension

+ Demonstrated ability to follow departmental rules and guidelines and provide necessary support for team

+ Must be able to work well under minimal supervision as a part of a fast-paced team

+ Ability to learn quickly

+ Ability to work under pressure, especially under tight client deadlines

+ Strong interpersonal skills; must be able to work with strong personalities

+ Strong analytical skills and business acumen

+ Flexibility with RFP projects and other duties as assigned

+ Ability to lead and complete side projects and stretch assignments, as assigned Understanding of Office Supplies and related category markets
