Job Description
SUMMARY
Provides high-level administrative support to the Chief Operations Officer by preparing reports, handling information requests, and performing clerical functions such as preparing correspondence, arranging conference calls, and scheduling meetings. Maintains confidentiality of sensitive information. Frequent independent judgments are essential. The incumbent is also required to perform all tasks in observance of Rite Aid's brand and strategy and adhere to our core values and service attributes. Frequent independent judgments are essential. ESSENTIAL DUTIES AND RESPONSIBILITIES
- Maintains the COOs calendar: schedules and confirms appointments, arranges for meeting rooms or facilities, coordinates travel plans. Anticipates the need for and makes arrangements for internal and external meetings.
- Provides agendas or presentations, attends meetings with the executive, and takes, transcribes, and distributes notes or minutes. Notes commitments made during meetings and arranges for follow-up, when necessary communicates to the right constituents and ensures implementation.
- Handles details of confident nature and performs administrative functions in accordance with Rite Aid's policies and procedures. Prepares and submits expense reports, pays invoices and maintains cost center expense reports on behalf of the executive. Manages specific ad-hoc projects; e.g. ensure deadlines are adhered to and take follow up action required.
- Drafts memos, emails, agendas, action notes, letters, reports, presentations, other correspondence, to high quality standards, distributes necessary information with management. Maintains effective office administration systems, ensure all office equipment is functional and office supplies are adequate.
Experience / Requirements
- 5 years of experience in Executive support required.
Education
- Bachelors Degree in Arts/Sciences (BA/BS) Business or related required.
