**Job Summary**

AECOM is actively seeking a creative, highly talented Administrative Assistant for immediate employment for the Dallas, TX office. AECOM is proud to provide our employees with exciting, challenging projects.

The responsibilities of this position include, but are not limited to, those listed below:

+ Provide high-level Administrative Support including communication, organization, technology, judgement, teamwork skills that will help shape a positive image for the Procurement Design and Construction Department.

+ Provide administrative support to the Contract Specialist for large capital projects including document preparation, Source Evaluation Committee, public events, and other duties necessary for project success.

+ Serve on both internal and external project teams responsible for writing and updating process documents, including updates to the DART Procurement Regulations and Contract Administration Procedures.

+ Anticipate the needs of customers (external) and clients (internal) and deliver quality service with caring, respect and integrity. Identify the customer’s, client’s viewpoint, gaining trust and meeting needs and community awareness.

+ Develop and implement a tracking system to ensure timely, successful follow-up on action items. Set appropriate priorities on projects and tasks that are given; clearly recognize the difference between important and urgency. Successfully outcome hinges on a cohesive plan, understanding the desired outcomes and develop performance indicators to aid in reporting and process improvement initiatives.

+ Performs administrative duties such as special projects, reports, spreadsheets, etc. as required including tracking and reporting on departmental training and professional development.

+ Maintains message and calender system to include tracking staff, answering, screening, and routing in-coming calls, scheduling meeting, planning travel and if necessary, taking messages. Receives and greets visitors and guests.

+ Composes letters, correspondence, and memos requiring independent judgment as to content, and prepares responses to inquiries when necessary.

+ Compile agendas and attend staff meeting, prepare and distribute minutes, and provide assistance in any required follow-ups.

+ Perform other related duties as assigned.

**Minimum Requirements**

+ High School Diploma or equivalent

+ 2+ years' experience

+ The ability to effectively exchange information, interact and work with others to achieve an understanding and acceptance

+ Verbal and written skills, presentation skills and activity listening

+ The ability to interpret, understand, have good judgement and possess the unique skills set needed. To understand the public transit industry; keep abreast of new methods, requirements, and technologies

+ Due to the nature of the work, US Citizenship is required
