**Job Summary**

The Executive Administrator is responsible for providing support to the President and Executive leadership of the Management Services Group. This position is responsible for a broad range of tactical and strategic activities and is expected to work with limited direction from the President and the leadership team, executing discretion and judgment in all aspects of the role.

Essential Responsibilities:

1. Support the President to be effective and efficient in his/her duties by providing a wide range of administrative and operational support. Assist the President in making key decisions by ensuring materials, reports, and presentations for internal and external meetings are ready and efficient. Partner with the President to understand appropriate protocol and preferences.

2. Prepare and facilitate effective business and management meetings by ensuring appropriate meeting space is ready, preparing meeting materials and coordinating issues and actions for discussion and resolution. Responsible for tracking actions and meeting minutes.

3. Coordinate and track key corporate initiatives, projects, and events.

4. Develop work plans and make suggestions regarding timelines and resources when appropriate.

5. Work with the leadership team to track and communicate projects, initiatives, actions and issues to the President.

6. Develop effective relationships and work collaboratively across the Group’s business units and management and support staff on a variety of issues and matters.

7. Anticipate potential issues and problems which could impact the President and business and coordinate solutions.

8. Develop draft communications and press releases for internal purposes and external customers.

9. Manage several executive assistants and facilities administrator ensuring the staff is adequately trained; coordinating workloads, priorities, and schedules to ensure timely and effective completion of work; and monitoring and evaluating staff performance.

10. Proactively identify and resolve a variety of issues and ensure follow-through to successfully complete work and projects related to business operations, administration and facility management.

11. Act as a point of contact on behalf of the President.

12. Perform all other position related duties as assigned or requested.

+ Investigate all incidents, including near misses to determine causes and effective corrective actions.

+ Safety Trained Supervisor (STS) professional safety certification from the Board of Certified Safety Professionals is expected. For new managers and supervisors without STS certification, certification should be completed within 6 months of hire date.

**Minimum Requirements**

+ Position requires a Bachelor’s degree

+ at least five years of executive or senior management support to include supervisory experience

+ strong interpersonal, communication (verbal and written) and analytical skills

+ this position also requires proficiency in Microsoft Office applications (Excel, Word, PowerPoint and Outlook).

+ Ability to travel.

Work Environment, Physical Demands, and Mental Demands:

Typical office environment with no unusual hazards, occasional lifting to 20 pounds, constant sitting while using the computer terminal, constant use of sight abilities while reviewing documents, constant use of speech/hearing abilities for communication, constant mental alertness, must possess planning/organizing skills, and must be able to work under deadlines.
